What the template covers
Twelve short sections, each with bracketed prompts to replace with your own detail and nothing that does not fit a small or mid-sized firm.
- Purpose. Why the firm has the policy and what it protects.
- Who this policy covers. Partners, solicitors, paralegals, trainees, consultants, administrative and temporary staff.
- Our principles. A person stays responsible, client information is protected, output is checked before anyone relies on it, and the firm is open with clients.
- Approved tools. The list of permitted tools, what each is cleared for, and who assesses a new one.
- What you must not do. The five prohibitions that keep the firm and its clients safe.
- Confidentiality and client data. What must be true of a tool before client data touches it, and the extra care for special category data.
- Checking what AI produces. Treating every output as a first draft, with a real review before it reaches a client or a court.
- Telling clients about AI. Client care information and the short note on a matter where AI does more than sit in the background.
- Supervision and responsibility. The named authorised person and what a supervisor does when in doubt.
- Training. Who is trained, on what, and when it is repeated.
- Reporting concerns and breaches. Reporting at once and without blame, and the link to the breach procedure.
- Reviewing this policy. The annual review and its owner.
How to use it
Replace the bracketed prompts with your own names, roles and tools, delete anything that does not fit, and have the finished policy approved by the person who owns compliance in your firm. Record the approval date and the next review date at the top. Then put the policy in front of your people with an hour of training, because a policy nobody has read protects nobody.
